Description:
TYRIOS allows you to control the sale of products in a targeted manner. In practice, however, the requirements vary greatly, which is why the exact procedure depends on your individual ideas:
- By default, items can be overbooked in TYRIOS, i.e. the order quantity can exceed the available stock. You can set on the item level that this should not be possible, so that the stock level specifies the maximum order quantity.
- If the item stock has been sold, you can specify whether the item status should be changed. By default, the item is not changed. However, you can specify that the item should not be available for order or should be completely removed from the range.
It is often desirable for both points to be implemented. However, the difference is in the detail. There are several options for the second point:
- You can simply increase the delivery time because you could always reorder the item and want to avoid losing an interested customer.
- You can set the item to "out of stock". By doing so, you retain the search engine ranking you have already achieved, but prevent orders from being placed in this position.
- You can set the item to "not visible". This means that the article cannot be found - even by search engines - but it is still available in the article master and your possibly time-consuming article maintenance can still be used for other articles.
- You can have the article deleted directly. This will automatically maintain your article master.
You can also combine these 4 options in terms of time. For example, you can specify that the item is immediately marked as "out of stock" when it runs out, but is then deleted after 4 weeks.
As you can see, the details make all the difference and you can decide how you want to proceed for each item.
Solution:
setting overbooking
To prevent an item from being overbooked, proceed as follows:
- As a user with extended rights, go to the customer area > Product management > Manage articles
- Search for the desired item in the item overview and select "Edit item" in the line menu
- Click on the Stock tab and deactivate the setting "Stock can be overbooked". If you cannot reorder the item, you can also deactivate the option "Item can be reordered". In this case, the stock can no longer be automatically overbooked.
As soon as the function is deactivated, the item cannot be overbooked in the order. If the customer wants to order too large a quantity, an error message is displayed. It is therefore advisable to inform the customer of the stock level if the stock is limited. This is active by default and can be set in the "Stock" tab.
React to stock running low
If the warehouse runs out of stock, you can have the product changed in a targeted manner.
- As a user with extended rights, go to the customer area > Product management > Manage articles
- Search for the desired item in the item overview and select "Edit item" in the line menu
- Click on the "Stock" tab and go to the "Actions when stock is empty" area
- Activate the setting "Overwrite product data in case of empty stock".
- Click on the + button and add an action when the stock level is reached
- Select the action to be performed
- Select the time when the action should be carried out. The time is relative to the event of the empty warehouse run.
- If necessary, enter a validity date until when the rule should apply. For example, you can increase the delivery time within the season as long as the item can be reordered and have it deleted after the season.
Tips and Tricks:
TYRIOS automatically logs the date of the warehouse emptying and the original status. This enables TYRIOS to automatically restore the original status of the item when goods are received. The actions carried out during the stock run are therefore revised directly with the goods receipt.
