Tax compliance in export tradeService types for invoice line items
This guide helps TYRIOS users to ensure that their international sales are treated correctly for tax purposes. By precisely defining the type of service, the system ensures that the appropriate tax rules and legal provisions – such as those for e-invoices or the reverse-charge mechanism – are automatically applied.
Whilst TYRIOS automatically recognises the type for products in the database, the system allows for manual selection in the editor when creating manual text entries. This ensures that every invoice line item complies with legal requirements and is correctly transmitted to customers abroad.
How to define the service type for your invoice line itemsPräzise Buchhaltung durch richtige Kategorisierung
Accurate bookkeeping is the backbone of your business. By assigning the correct service type to each item, you ensure that TYRIOS applies tax rates and export rules for e-invoices fully automatically and in full compliance with the law.
This guide walks you through the categorisation process so that your invoice data is correctly prepared for accounting and shop management right from the start.
-
Add a product line with a service type
In the invoice editor, add a new line item and select a product that is defined as a ‘Service’ in Shop Management. The ‘Service Type’ field in the sidebar will now automatically display the value ‘Service’. TYRIOS retrieves this information directly from the product type to save you the trouble of entering it manually.
-
Check whether free-text fields are required
Try creating a new free-text item (manual item) without selecting a service type. Click the Apply button in the sidebar. The item will not be saved, as the service type is mandatory for all new items in order to avoid validation errors later on.
-
Select an ancillary service for free-text items
Select the option ‘Ancillary service (follows the main service) ’ from the drop-down menu in the sidebar and click ‘Apply’. The item will now be saved as a “Supplementary service”. Use this option for charges, packaging costs, discounts or items sent as part of a delivery that are to be treated for tax purposes in the same way as the main goods.
-
Check your selection after saving
Save the entire draft invoice. Then open the line item again via the sidebar to check its persistent status. The selected service type will be permanently saved. Please note that the ‘Not specified’ option is no longer available for new line items or those that have been edited once.
Additional information on the type of benefitTips and important information
Please note the following special considerations when automatically processing and manually adjusting service types in your documents:
- Older line items: For invoices created before this feature was introduced, ‘Not specified (older line item)’ is displayed. You can save these line items as they are without having to enforce a specific type.
- Physical products: For items of the ‘Physical product’ type, ‘Goods (physical product)’ is preselected by default. However, this setting can be manually overridden for the specific invoice in the editor.
- Invoices from purchase orders: In this case, the invoice inherits the type directly from the purchase order item. If the type has already been adjusted in the purchase order editor, this specific value is used rather than the original type from the product master.
- Sub-items: These do not have their own service type. Instead, they always follow the main item to which they are subordinate.
- Tax implications: The selected service type is crucial for the correct export of your data. For example, it determines whether an item is reported to the EU as a supply of goods (K) or as a service/reverse charge (AE).
