Basics of Position ManagementDefine the service type for order items

The aim of this guide is to ensure that invoices are issued and tax is calculated correctly. This is particularly crucial for international sales, as it is essential to distinguish precisely between goods, services and ancillary services.

In this article, you will learn how to check these service types within the order editor and customise them as required.

Accurate allocation of service types is the foundation for legally compliant invoicing and clear communication with customers. This guide walks you through the process of correctly categorising goods and services in your orders, so that every invoice automatically complies with the relevant tax regulations.

  1. Add a product and check the service type

Open the Item sidebar in the Order Editor and add a new item by selecting a product that is listed as a ‘Service’. Then check the ‘Service type’ field: it will automatically display the value ‘Service’, as this value has been taken directly from the product.

  2. Create a vacant post as a secondary benefit

Add a new open item without a catalogue link. In the sidebar, locate the ‘Service type’ field and select the option ‘Ancillary service (follows the main service)’ from the drop-down menu. Save the item so that it is correctly recorded internally as type ‘Ancillary service’.

  3. Manually change the service type for an item

Select the product item from the first step and manually change the value in the ‘Service type’ field to ‘Goods (physical product)’. Save the change. Note: This correction only applies to this specific order; it does not alter the actual product in your catalogue (PIM).

  4. Create an invoice from the order

Create the invoice directly whilst processing the order. The invoice line items are copied exactly as you defined them in the order editor (e.g. ‘Goods’ and ‘Ancillary services’). This ensures that the tax classification is carried over directly from your workflow into the final document.

Here you will find useful details on the automatic processing of service types in your orders:

  • Default assignment: If you do not assign a specific type to an empty field, the system will automatically label it as ‘Goods (physical product)’.
  • Automatic synchronisation: For orders placed via the online shop or when adding items via the ‘Similar products’ sidebar, the service type is taken directly from the stored product data.

Important note on tax export: The selected service type is crucial for correct invoicing. For international sales, it determines whether an intra-Community supply or a reverse-charge procedure is applied on the invoice.
