Import products using the standard product importer

Description:

With the standard product importer, TYRIOS offers a very flexible importer with which you can edit product data in bulk. Two different procedures are supported: The import of new product data and the updating of existing data. Both modes can be executed within an import process.

An Excel file is available for editing the product data. You can find the appropriate template here. The appropriate columns are already pre-filled in the Excel file, but you can also use another Excel file - e.g. from your supplier - at any time. Only the column headings are important. The order, the design or even the fact that all columns are there is not important. However, the following columns are always necessary.

  • The name, net sales price and tax rate are important for new products to be created. It would also be advisable to enter the category ID at the same time.
  • If you want to update products, the identification key, the "Update only" column and the corresponding column for identification (e.g. article number) are important.

Mode selection

The AF column is important for the mode selection ("Update only"). If this column is not filled in, the standard product importer assumes that new products are to be created. This mode is also active if a 0 is entered here. If the value 1 is entered, a suitable product is searched for and updated with the completed fields.

 

Product identification

Regardless of the mode, the product importer first searches for a suitable product in the inventory data of the PIM system. This prevents duplicates from being created unnecessarily. The AE column (identification key) is of key importance here. By default, a product is identified on the basis of the "article ID". However, it may be necessary to search for the MPN or article number instead. This must be entered in this field. Permitted fields are

  • Item ID
  • Item number
  • Manufacturer ID
  • Item name
  • MPN
  • EAN
  • ISBN

 

It is also possible to combine several fields in the identification. For example, the expression "Manufacturer | MPN" uses the value of the manufacturer and MPN to identify the matching product.

 

Dealing with missing fields

In principle, the standard product importer behaves in such a way that fields that are not filled in are not changed. If this is obvious for a new product, it also applies when updating an existing product: If a product is found, TYRIOS only updates the corresponding product in the product data if a value has also been stored in the import file.

 

Which fields are urgently required?

This basically depends on the use case and the objective. TYRIOS does not force products to be displayed online, but products can also only be stored for internal purposes - e.g. for production, checkout or similar. In this case, at least

  1. Name
  2. Net sales price
  3. Tax rate
  4. Category ID (for structuring the products) (the category ID (number) can be found in the URL)

If the item is also presented online, we recommend that you also enter

  1. Brand name
  2. Short description
  3. Description (with or without HTML)
  4. EAN
  5. Google category (without this, the product cannot be advertised via AdWords)
  6. Image URL 1 to 4

 

How do I import images & media via the standard importer?

The standard product importer offers you three options for importing media such as images and PDFs.

 

Import based on rules

The easiest way is certainly to import based on rules. Two rules are used here:

  • The file name starts with the article number. It is also located in the folder, which has exactly the same name as the brand. It is possible to separate further text after the article number with a "_". Examples of file names: [article number]_my-picture.jpg, [article number].jpg
  • The file name starts with the EAN followed by an underscore. The file can be located in any folder. It is possible to separate further text after the EAN with a "_". Examples of file names: [EAN]_my-picture.jpg, [EAN].jpg

During the import, the importer checks whether it finds a suitable file in the media library and links it automatically. Any number of media can be integrated in this way.

 
Import based on a URL

If the media are not yet in the media library, they can be easily imported using the standard importer. All you need to do is enter a URL to an external page in the columns "Image URL 1" to "Image URL 5". In principle, any number of fields are supported. If the number of columns is not sufficient, you can add more columns and increase the counter accordingly.

The importer then automatically creates the file in the brand folder with the corresponding file name.

 
Import based on the media ID

Last but not least, an explicit assignment via the media ID is possible. To do this, you must go to the media library and read out the ID for the desired media (mouse over the corresponding file). You can enter this in the columns "MEDIA-ID 1" to "MEDIA-ID 5". Any number of fields are supported. If the number of columns is not sufficient, you can add more columns and increase the counter accordingly.

 

Media, YouTube URLs, USP and more

There are some fields in your product data that can have more than one value. The product standard importer supports any number of entries. You can recognise this by the fact that columns such as "youtube-URL 1", "youtube-URL 2", etc. exist here. If the number of columns in the Excel file is not sufficient, you can add more columns at any time and increase the counter accordingly. The importer recognises these fields automatically.

 

Import for multilingual shops

TYRIOS has a multilingual structure, so you can set up your website in several languages. Of course, the standard product importer also supports this. By default, the system assumes that your columns are stored in German. However, language-specific fields such as the item name, description or colour can also be imported directly in multiple languages. To do this, add the language abbreviation in ISO 639-1 alpha 2 format to the corresponding field, e.g. "Name" becomes "Name DE", "Description" becomes "Description DE", etc. If no language is specified, the importer assumes German.

Solution:

  1. Save the completed Excel file directly as an xlsx file or alternatively as a CSV file in UTF-8 format. Only the column headings are important. The order is irrelevant.
  2. Go to the customer area > Product management > Manage articles
  3. Click on Import in the menu. The importer dialogue opens
  4. Select the importer "TYRIOS Standard product import" and click Next. If you want the import to run in the background, activate the corresponding option and enter your e-mail address. Once the import is complete, you will receive a status email.
  5. Now upload the saved CSV file. Either click on the upload icon and then select the relevant file or drag and drop the file onto the upload field.
  6. TYRIOS will now check your file and start the import process. you will be informed of any errors in the import dialogue.

Tips and Tricks:

Bulk editing

The standard product importer is particularly helpful if you want to edit data in bulk. For example, if you want to import a price list from your manufacturer/supplier or if you want to change the properties of the items in the bulk. All you have to do is make sure that the column headings are correct and you can update product data in a targeted manner. In update mode, TYRIOS automatically skips products that do not exist.

Multilingualism

The data for German is imported by default. If your TYRIOS instance is set up for multiple languages, you can also import other languages using the standard product importer. To do this, you simply need to add the language in ISO 639-1 format to the relevant fields. This makes "Name" => "Name de", "Short description" => "Short description de", etc.

Alternative price groups

The standard product import allows you to import different price groups in addition to the standard sales price. To do this, you must enter additional fields with the column label "Net sales [alternativePriceName]".

How do I find the right Google category?

Google requires the Google category to be stored for integration into the product search. You can find a detailed description of the Google category in Google Help.

How do I find the category ID?

To assign an article to one or more categories, you must use the category ID. Here's how to find it out:

  1. Either go to your desired category via the customer area > Product management > Manage categories or click on the corresponding category in the frontend area.
  2. If you are in the corresponding category, you will recognise the category ID in the address bar. The address https://www.example.com/shop/kategoriename/2194/c serves as an example. In this case, the category ID is 2194. Assignment via the category name is not possible as this is not unique.

 

How do I import stock levels?

TYRIOS supports any number of warehouses. By default, one warehouse is preset with the name "Main warehouse". However, you can change this at any time. To import stock information, you must add a column with the corresponding stock name in the Excel file. The following fields are supported:

  • Warehouse '[warehouse name]', e.g. warehouse 'main warehouse'
  • Warehouse item '[warehouse name]', e.g. warehouse item 'main warehouse'

How can I store purchasing conditions?

The standard product importer is intended for maintaining the master data of your product data. It is not intended for importing purchasing conditions. The purchase price in the importer is therefore not the purchase price at which you buy the item, but the warehouse purchase price. In other words, the average purchase price of your stock.

If you want to store purchasing conditions, you will need the TYRIOS supplier app. This has an independent importer for storing purchasing conditions. TYRIOS supports multiple suppliers per article.

How can I import extended product data / product data types?

you can use product data types to dynamically extend the standard product fields offered by TYRIOS. The standard product importer allows you to have these fields filled automatically via the import. Proceed as follows:

  1. Add a new "Product data type" column to your Excel file. Enter the corresponding ID of the product data type in this column. You will find the ID directly in the tabular overview of the product data types. The importer checks the correct ID and assigns the product data type accordingly.
  2. The standard product importer can import product fields of the "Standard" and "Full text field" types. Other types are currently not possible due to the multidimensionality
    1. To import product fields of the type "Full text field", you must store an additional column with the product field ID. You can find the product field ID (PF-ID) directly in the product data type management. You can store a separate column for each language. For example, the column for product field ID 29 is "PF-ID 29" or language-specific "PF-ID 29 DE". The column expects HTML content.
    2. To import product fields of the type "Standard", you must store the corresponding individual fields as columns. You can also find the corresponding IDs in the product data type management, e.g. "PF-EF-ID 5". Multilingual storage is also supported here: e.g. "PF-EF-ID 5 DE" for German.

Please note: As soon as you have stored a product field or individual field in the Excel file, the product standard importer overwrites all product field / individual field data already stored for the article. In the event of an update, you must therefore provide all data or none at all.
