Using Additional Data from Excel for Newsletters

Description:

With the new Excel integration in TYRIOS, you can make your newsletters even more customised and targeted. This function allows you to insert additional external data such as discount codes, credit notes or information from your rental system directly into your newsletter. At the same time, you can filter the target group precisely by combining data from TYRIOS and Excel.

Why is this function useful?

Precise target group segmentation

The Excel integration allows you to select specific users who are both saved in the TYRIOS system and stored in the Excel file. This allows you to create a subgroup from all newsletter recipients, for example, based on data such as purchasing behaviour, status or external information.

Dynamic personalisation

Data such as individual discount codes, order information or personalised offers can be inserted directly from the Excel file into the newsletter, even if they originate from a third-party system such as a CRM or ERP (merchandise management). This dynamic content makes your emails highly relevant and personalised for each recipient. This makes the TYRIOS newsletter the perfect connection for everyone.

Flexibility and efficiency

You can use external data without permanently importing it into the TYRIOS system. This saves time and makes it easy to create one-off or special campaigns.

Legally compliant and transparent

Since the recipients must always be stored in the TYRIOS system, the newsletter dispatch remains GDPR-compliant. Consents and protocols are automatically taken into account.

Solution:

This is how you integrate an Excel file into the newsletter.

  1.  Select recipient in the TYRIOS system
    • Select the recipient group in TYRIOS that should receive your newsletter
    • Important: Only recipients who are registered in the TYRIOS system and have valid consent can be included.
  2. Upload Excel file
    • Load the Excel file with the additional data (e.g. discount codes, rental information, credit notes) into the newsletter system.
    • Make sure that the file contains a column with email addresses that will be used for synchronisation with TYRIOS.
  3. Select e-mail column for synchronisation
    • Specify which column in the Excel file contains the email addresses
    • TYRIOS compares these with the email addresses of the previously selected recipients. Only users who appear in both sources will receive the newsletter (AND filter).
  4. Use dynamic placeholders
    • In the newsletter template, you can now use the {{data.NameOfColumn}} pattern to insert content from the Excel file into the newsletter. All available patterns are displayed in the pattern overview below the newsletter editor.
    • Example: {{data.discountcode}} inserts the discount code from the corresponding column for each recipient.
  5. Design and send newsletters
    • Create your newsletter as usual and use the dynamic content from the Excel file to personalise it
    • After sending, all activities are logged as usual so that you can keep an overview.

Tips and Tricks:

The new Excel integration in TYRIOS offers numerous options for customising your newsletters and making them more efficient. Here are specific examples of how you can make the most of this function - including detailed explanations.

Personalise discount codes for regular customers

You would like to run a discount promotion for regular customers. The discount codes are generated in your ERP system or in your merchandise management system and saved in an Excel file.

  1. Prepare data:

Export the list of discount codes from your ERP system. The Excel file should contain at least two columns: the email addresses of the recipients and the associated discount codes

  2. Select all customers as the basic quantity:

Make sure that all customers have been created as users via the customer import and that you have permission to use their email address for advertising. You have usually already done this via a corresponding print template in the shop.

  3. Upload Excel file:

Upload the file into TYRIOS and select the column with the email addresses as the matching field.

  4. Insert placeholder:

Use the pattern {{data.discountcode}} in the newsletter template to dynamically insert the individual discount code for each customer. The pattern depends on your specific Excel export.

  5. Send newsletter:

Only recipients who are known in the TYRIOS system and listed in the Excel file will receive the personalised emails.

Advantage: You save time and can add a unique discount code to each email without having to make manual adjustments for each customer

Communicate credit notes or account balances

Your company would like to inform customers about their current credits or account balances held in the financial system.

  1. Create Excel file:

Export a list of customer email addresses and their credit balances from your financial system or accounting system

  2. Select all customers as the basic quantity:

Make sure that all customers are first created as users via the customer import. As this is not an advertising email, you do not need to have consent to use it in the newsletter and can write to all customers

  3. Upload and synchronise Excel

Upload the file into TYRIOS and select the email column for synchronisation. This ensures that only customers who need to be informed about the account balance are informed.

  4. Use a placeholder for the credit note:

In the template, you can use the placeholder {{data.balance}} to insert the individual account balance into the email.

  5. Secure shipping:

TYRIOS ensures that only recipients with a positive or negative account balance receive the email. Advantage: You can target customers without having to enter the credit information manually

Integrate information on rental properties

A ski hire shop would like to inform customers when their equipment needs to be returned.

  1. Export data from the rental system:

Export an Excel file with email addresses, names and return deadlines

  2. Select all customers as the basic quantity:

Make sure that all customers are first created as users via the customer import. As this is not an advertising email, you do not need to have consent to use it in the newsletter and can write to all customers

  3. Upload Excel file to TYRIOS:

Upload the file and synchronise the email columns

  4. Design newsletter:

Use placeholders such as {{name}} and {{data.return-deadline}} to create personalised messages.

  5. Dispatch:

Only customers who are listed in the TYRIOS system and in the Excel file will receive the message. This means that only customers who have a return deadline are contacted.

One-off campaigns with exclusive data

You are planning an exclusive promotion, such as a competition, a VIP invitation or a sale, and only have the participant data in an Excel file.

  1. Prepare Excel file:

Make sure that the file contains email addresses that match existing users in TYRIOS.

  2. Select all customers as the basic quantity:

Since this is an advertising character, you should also make sure that you have the consent for an advertising email

  3. Personalise action:

Upload the file and use placeholders to insert customised content, such as invitation links or personal messages.

  4. Targeted dispatch:

By combining this with the Excel file, your email will only be sent to the customers you want to reach based on your Excel file.

Local offers for specific regions

You operate several branches and would like to offer customers from a particular region a special offer that applies specifically to their branch.

  1. Collect regional data:

Create an Excel file with e-mail addresses and the associated branch. The Excel file should also contain the specific offers of the branch.

  2. Select all customers of both shops as the population.

Since this is an advertising character, you should also make sure that you have the consent for an advertising email

  3. Upload Excel data:

Load the file into TYRIOS and use the e-mail column for synchronisation.

  4. Personalise your newsletter:

You can use placeholders such as {{data.store}} or {{data.offer}} in the template:
„Dear customer, our offer in the {{data.store}} branch: 20% discount on all items!“
