This guide provides a comprehensive walkthrough for exporting your customer invoices to DATEV. Convert complex invoice data into a format that your tax adviser can process directly in a matter of seconds, and save yourself the hassle of manual data entry.

A seamless data transfer is the cornerstone of efficient bookkeeping. With the DATEV export, you can transfer your data in a structurally sound and error-free manner, making your monthly accounts a breeze.

  1. Open the DATEV export template for customer invoices

    In the dashboard, navigate to Order Management > Manage Documents and click the ‘DATEV Export’ button. The sidebar for exporting your document data will open.

    The system makes things easier for you: when you open the form, it is automatically pre-filled with your most recently used settings, so you’re ready to go straight away.

  2. Enter accounting parameters and the period

    Enter the required master data in the relevant fields:

    • Consultant number (consultant) and client number (client)
    • Start of the financial year
    • Period (from/to) for the export
    • Bill types to be included in the export
  3. Start the export process

    Start the export. The system will now do the work for you and collect all relevant invoices with a document date falling within the period you have selected.

  4. Wait for the journal entries to be created

    The system creates a separate posting line for each posting account on an invoice, containing the following details:

    • Amount and debit/credit indicator
    • Account (the account for the line item) and contra account (the customer’s accounts receivable account)
    • Document date and posting text
    • EU country and VAT number: This is displayed provided that a VAT number is stored in the delivery or billing address (the delivery address takes precedence).

    If a document contains multiple tax rates or different posting accounts, a separate line is exported for each tax rate or posting account.

    Note: The ‘Document link’ column remains blank unless you are also exporting PDFs.

  5. Download DATEV file

    You will receive a structurally valid CSV file in the EXTF_Buchungsstapel format. Each entry is listed as a single data record on a separate line and can be imported directly into DATEV or compatible programmes.

PDF export and document link
If you select the ‘Include PDFs’ option, TYRIOS will provide you with a ZIP file. In addition to the transaction batch itself, this file also contains all documents in PDF format.

Some accounting systems (e.g. ADDISON) support the automatic linking of journal entries to supporting documents to ensure fully GoDB-compliant accounting. To do this, the document link must be specified. TYRIOS can automatically populate this field. To do this, enable the “Document link” function in the system configuration (Document management → DATEV export). The exact file name of the PDF is then automatically entered in the “Document Link” column in the posting batch to enable automated allocation in programmes such as ADDISON.

VAT registration number and tax codes

  • Automatic VAT registration number: The ‘EU country and VAT registration number’ field is filled in automatically provided a VAT registration number is stored in the address. If this information is missing, the field remains blank in the export. The delivery address is always the deciding factor. If no delivery address has been entered, the billing address applies.
  • 0% tax scenarios: Use different tax matrices (e.g. ‘Tax-free vouchers’ or ‘Small businesses’) to specifically route various tax-exempt cases to different accounting accounts. The system automatically applies the correct account to the export. EU-relevant accounting accounts and exports to third countries are also automatically derived from the tax matrix.

Troubleshooting and compatibility
If a posting account is missing from the export, this means that no posting account was specified for the invoice line item. This cannot be changed retrospectively, as documents that have already been published cannot be edited. However, you can specify the posting account in the posting batch.

Please note regarding the document link: The document link is simply a file name for programmes such as ADDISON and is not a direct link to ‘DATEV Unternehmen online’, as this would require special cloud GUIDs from DATEV. This is not currently supported by TYRIOS.
