Preparing for digital invoicingEnable e-invoicing for an invoice type
In this guide, you will learn how to enable the e-invoicing function for specific invoice types in your system. The aim is to switch your invoicing to modern, machine-readable formats such as ZUGFeRD and XRechnung in order to meet the requirements of business customers and public authorities.
By activating this feature, you ensure that your documents are transmitted as structured data records. This enables your customers’ accounting systems to capture invoice data automatically, which reduces manual errors and ensures your company is ready for digital processes.

Switching to electronic invoicing formats such as ZUGFeRD and XRechnung is a crucial step towards modernising your accounting processes and simplifying collaboration with business partners and public authorities. In this guide, you will learn how to enable these formats directly within the BillManagement module.
Once the configuration is complete, the system automatically generates legally compliant documents that are both human-readable and machine-processable by accounting systems – a real boost to your efficiency.
-
Open the invoice type editor in Order Management
In the dashboard, navigate to Order Management. From there, open ‘Manage Document Types’. In this central section, you can manage the settings for all document types, such as invoices and credit notes.
-
Select the ‘E-invoice enabled’ option
Select the specific invoice type that you wish to prepare for electronic dispatch. Locate the ‘Display options’ section and tick the ‘E-invoice enabled’ option. This will mark the invoice type for output in ZUGFeRD and XRechnung formats.
-
Save invoice type settings
Click ‘Save’ to apply your changes. From this point onwards, all newly created final documents of this type will be eligible for the automatic generation of ZUGFeRD PDFs and structured XML downloads.
-
Publish the full invoice
Create and publish an invoice of this type. The system will now generate a PDF/A-3 document containing an embedded XML file (ZUGFeRD).
Important: Draft previews remain simple PDFs without an XML attachment. The e-invoice is only finalised once it is published.
Important information on setting up the systemTips and warnings about e-invoicing
Before you activate e-invoicing, the official company name, email address, VAT number and bank details (IBAN, BIC) must be entered in the SystemDataManagement company settings. Important: A VAT ID that is only printed on the letterhead will not be recognised by the system. It must be entered in the structured master data.
Existing PDFs are not converted automatically. If you need an e-invoice for an old invoice, use the ‘Recreate PDF’ function in the document editor. For public sector clients (B2G), download the separate XML file via the Actions menu by selecting ‘Download eInvoice (XML) ’.
If mandatory data such as the buyer’s address, the routing ID or payment terms are missing, the creation process will be blocked. In this case, please check the error messages in the system, such as E_EINVOICE_SELLER_VAT_REQUIRED. A valid XML attachment can only be generated if the data is complete.
