Automatically reduce storage quantities
Questions:
- When is the storage quantity reduced?
- How do I run a live inventory?
Description:
TYRIOS allows you to store the current stock of an item for any number of warehouses in the PIM system and have it automatically maintained within the scope of a live inventory. Third-party warehouses - e.g. from your supplier - are also supported. TYRIOS offers functions for both warehouse receipt and automatic warehouse issue. However, you must tell the system when the warehouse is to be moved.
By default, the warehouse is changed with a document - e.g. the invoice or a delivery note. To do this, you must specify in the document from which warehouse the warehouse movement is to take place. By default this is not filled in.
If no warehouse is selected in the document, no stock movement will happen. Alternatively, you can also store an order status action that already moves the warehouse when the order is received. The cash register moves the stock directly.
Solution:
If you always want to move the warehouse for a document type, then you should edit the document type accordingly.
- As a user with extended rights, go to the Customer Area > Order Management > Manage Document Types.
- Search for the document type that should move the warehouse and click on "Edit document type" in the line menu.
- Activate the function "Warning for missing warehouse". You will then receive a message before saving if you have forgotten the bearing.
- Optionally, you can also store a standard warehouse that has been selected automatically. For this, the document type must cause a goods movement. Make sure that the document has either a goods issue or a goods receipt to customer activated.
Note: By default, an invoice does not create a goods movement. This is the case with the delivery note by default. If you want to trigger the goods movement with the invoice, you should adjust the document type Invoice accordingly. - Save the document type
If you want to save a warehouse action for a status, proceed as follows:
- As a user with extended rights, go to the Customer Area > Order Management > Edit Order Status Actions.
- In the form, select the desired status for which the action is to take place. If this is to be the order confirmation, then the correct status would be "In process: In process".
- Select "Reduce stock" as the action.
- Click on Create
- Now enter the warehouse name in which the stock movement is to be carried out. By default this is the "Main warehouse".
- Click on Save.
Note
Note that orders can also be cancelled. Therefore, you should store a corresponding cancellation status with the warehouse action "Increase stock" or manually correct the warehouse again.
Tips und Tricks:
You can combine both procedures. However, you must ensure that the warehouse is not double-booked.
TYRIOS automatically logs every stock movement in the PIM system. Depending on the setting, the stock movement is automatically linked to the order or to the document. In this way, you can track what is happening with the stock at any time.
