Shortcut keys for transactions without itemsWhat roles are for

In day-to-day business operations, transactions regularly arise that are not listed as standard products in the catalogue. These include , for example , postage costs, deposit amounts or cash withdrawals. As these transactions do not have a scannable barcode, they would normally have to be entered manually via the blank input field for each sale, which is time-consuming.

By defining fixed items for your terminal, you can replace manual data entry with predefined buttons. A single tap is all it takes to record the transaction. This significantly speeds up the payment process, reduces typing errors and ensures a professional checkout experience.

There are two types of items:

  • Fixed: A tap adds the item, along with its pre-set amount, directly to the basket. This is suitable for amounts that never change, e.g. a deposit or a flat-rate delivery charge.
  • Template: With ‘Item can be edited on the terminal’, a tap opens a blank input field, pre-filled with the item’s details. Your team simply adjusts the amount and confirms. This is suitable for amounts that vary each time, e.g. a cash withdrawal.

How to configure custom items for your POS terminalEffiziente Buchungen abseits des Artikelkatalogs

You create items once in the Terminal Editor. After that, your team records everything that is not an item from the catalogue – such as postage, a deposit or a cash withdrawal – using the ‘Item’ entry type.

  1. Enable position management

Open the Terminal Editor and tick the ‘Enable positions’ option . Once you have selected this option, the new ‘Manage positions’ table will appear automatically, allowing you to define your own customised transaction keys.

  2. Create a new position

Tap the ‘New’ button . A sidebar titled ‘Add item’ will open . This contains all the relevant fields for name, short description, gross price, unit, tax matrix, VAT, brand, the option ‘Item can be edited in the terminal’, as well as the business transaction type (‘BT Type’) and name.

  3. Enter master data and posting type

Enter the name, the gross amount in the ‘Item price (gross)’ field, the tax matrix and the business transaction type (‘BT Type’). The VAT amount displayed is automatically adjusted to match the selected tax matrix. The name of the business transaction is automatically populated based on the selected type.

  4. Set behaviour at the till

Decide how the button on the terminal should work: leave ‘Position can be edited on the terminal’ disabled if it is a fixed amount (tapping once posts the transaction immediately). Enable this option if the cashier needs to adjust the amount or other details whilst processing the transaction (tapping opens the pre-filled blank input field).

  5. Add the item to the list

Tap ‘Apply’. The sidebar will close and the new position will be listed as a row in the ‘Manage Positions’ table. Note: If the name or tax matrix is missing, the ‘Apply’ button will remain disabled.

  6. Save the terminal

Save the entire terminal. The items are now permanently stored and will be displayed at the POS in ‘Item’ input mode, so your team can start using the new shortcut keys straight away.

Additional notes on configurationTypical positions and notes

These settings have proved effective for the most common scenarios (GV type, variant, amount):

  • Cash withdrawal: ‘Private withdrawal’, template, negative amount, tax matrix set to 0 per cent.
  • Deposit to the bank: ‘Cash transit’, template, negative amount, 0 per cent.
  • Deposit of change: ‘Private deposit’, template, positive amount, 0 per cent.
  • Cash outlay (e.g. stamps, cleaning products): ‘Disbursement’, template, negative amount, 0 per cent.
  • Tips for staff: ‘Tip (employee)’, template, 0 per cent.
  • Deposits and deposit refunds: ‘Deposit’ or ‘Deposit refund’ (negative amount), fixed.
  • Postage or flat-rate delivery charge: ‘Turnover’, fixed for a flat rate, or as a template for variable postage.
  • Services such as gift wrapping or repair fees: ‘Turnover’, fixed.

Cash outflows: If money leaves the till, always enter the amount as a negative figure.

Tax matrix: Please consult your tax adviser to clarify which tax matrix is correct, e.g. for postage.

Miscellaneous: For the transaction type ‘Miscellaneous’, enter the name of the business transaction yourself.

Vouchers: You sell vouchers using the till’s voucher function, not via an item.

Notes on the user interface and logic:

  • Automatic deactivation: If you select the ‘Activate items’ option but do not create any items in the list, the function will be automatically deactivated again when you save.
  • Quick selection at the terminal: Tapping a fixed-price item a second time automatically increases the quantity in the shopping basket line to 2, without opening a new line.
