Description:
TYRIOS allows you to store SEPA information for your customers and then use it automatically for credit notes or direct debits. This is particularly useful for regular customers, as you can provide them with a convenient way to pay without having to pay fees to a payment provider.
The TYRIOS order and TYRIOS contact apps are required to store the SEPA information. If both apps are available, you can use the functions in the user and customer areas to define SEPA data. The SEPA information includes
- the IBAN
- the BIC
- the account holder
If you also want to store a SEPA mandate for direct debits, you must also specify
- the SEPA reference
- the mandate date
You must also inform the customer of the latter two, otherwise the SEPA mandate will not be valid.
TYRIOS allows you to define different SEPA data depending on the document type. For example, you can specify that a direct debit mandate only exists for subscription invoices (e.g. for regular services), but not for normal invoices. At the same time, you can define a bank account for credit notes or cancellation invoices that does not allow direct debits, but gives you the option of automatic bank transfers. TYRIOS takes this into account when automatically creating the SEPA file and ensures that only the valid SEPA information is used.
Solution:
Definition for the customer
- As a user with extended rights, go to the customer area > User management > Manage customers
- Search for the relevant customer and click on "Edit customer" in the line menu
- Click on the "SEPA information" tab
- If there is no SEPA information yet, you will find a note that no SEPA data is available yet. Otherwise, the data will already be listed.
- Add new SEPA data using the button . Please note that only one piece of SEPA information is permitted per document type.
- Enter a correct IBAN and BIC. This data is syntactically checked for correctness. The account holder must also be filled in.
- If you want to enter a direct debit mandate, tick the "Use for direct debit" box. The mandate reference and the mandate date must now also be entered.
To save, you must save the entire customer. The data will be checked for correctness.
Definition for the user
It is possible for the user to store SEPA information in two places.
In the user editor
- As a user with extended rights, go to the customer area > User management > Manage users
- Search for the relevant user and click on "Edit user" in the line menu
- Click on the "SEPA information" tab
- If there is no SEPA information yet, you will find a note that no SEPA data is available yet. Otherwise, the data will already be listed.
- Add new SEPA data using the button . Please note that only one piece of SEPA information is permitted per document type.
- Enter a correct IBAN and BIC. This data is syntactically checked for correctness. The account holder must also be filled in.
- If you want to enter a direct debit mandate, tick the "Use for direct debit" box. The mandate reference and the mandate date must now also be entered.
To save, you must save the entire user.
In the user profile
In the user profile, you will see the corresponding SEPA information for both the user and the assigned customer - if available. You can therefore view, edit and manage all available SEPA information in one place.
- As a user with extended rights, go to the customer area > User management > Manage users
- Search for the relevant user and click on the button to display the customer profile.
- Click on the "SEPA information" tab.
- Here you will find the SEPA data stored for both the user and the customer (if a customer is assigned). If there is no SEPA information yet, you will find a note that no SEPA data is available yet. Otherwise, the data will already be listed.
- To edit existing SEPA information, click on the Edit button . To add, use the button . Please note that you can manage both customer and user SEPA data in the user profile. You must therefore decide here whether the information should be stored with the customer or the user. Please also note that only one piece of SEPA information is permitted per document type per user or per customer.
- Insert a correct IBAN and BIC. This data is syntactically checked for correctness. The account holder must also be filled in.
- If you want to enter a direct debit mandate, tick the "Use for direct debit" box. The mandate reference and the mandate date must now also be entered.
To save, click on the save button next to the relevant SEPA information . To cancel, click on the Cancel button . If you would like to delete existing SEPA information, select the Delete button .
Tips and Tricks:
SEPA information from the customer has priority over the user's SEPA information. If SEPA information exists for the same document type for both the customer and the user, the customer's SEPA information applies.
